Wedding Photography Contract Template
Fill in the wedding details and get a clear agreement. Print or download it.
This wedding photography contract template turns the wedding details you type into a numbered, plain-text agreement between a photographer and a couple, and the text updates as you type. The form has fields for the ceremony and reception, a second photographer, an engagement session, an album or prints, a wedding-day timeline and a family formals list.
Use it as a wedding photography contract, a wedding photography agreement or a wedding photographer contract example. The form opens with example names (First Partner, Second Partner and Example Wedding Photography), so the preview doubles as a sample wedding photography contract. Print it, download .txt or .html, or copy the text. It is free, runs in your browser and uploads nothing.
This is a starting template, not legal advice. Laws differ by place, so have a qualified professional review it before you use it.

How to use the wedding photography contract template
The first five sections are open when the page loads; the last three start collapsed, so click a heading to open them.
- Under “Parties”, fill in “Photographer or business name”, “Photographer contact”, “Partner 1 name”, “Partner 2 name”, “Couple contact” and “Date of agreement”.
- Under “The wedding day”, enter the wedding date, the ceremony venue and time, and the reception venue and time.
- Under “Coverage and extras”, set “Coverage hours” and “Second photographer”, tick “Include an engagement session” if you need one, and choose “Album or prints”.
- Under “Timeline and family formals”, type the “Wedding-day timeline” and the “Family formals list”, one item per line. Both start with sample lines.
- Under “Fee, overtime and travel”, enter “Total fee” and “Currency symbol”, choose a “Retainer” and its value, set “Balance due, days before the wedding” (0 means the wedding day) and list the “Payment methods”. Add an “Overtime rate per hour” and a “Travel fee”.
- Under “Vendors, gear and replacement”, tick any clauses you want.
- Under “Images and rights”, set “Approximate number of images”, “Weeks to deliver”, “Usage rights” and the portfolio switch.
- Under “Changes, liability and general terms”, choose “Change of wedding date”, “Cancellation by the couple”, “Limit of liability” and “Governing law (place)”, then the outside-control and whole-agreement switches.
- Look through the preview for text in square brackets, which marks a blank field.
- Click “Download .txt”, “Download .html”, “Copy text” or “Print”.
What does the wedding photography contract template put in the agreement?
The agreement is numbered in this order: Parties; The wedding; Coverage; Wedding-day plan and family formals; Fee and payment; Overtime and travel; Other wedding vendors; Images and products; Copyright and use of images; Change of date and cancellation; Equipment and replacement; Limit of liability; Events outside our control; and General terms. A clause with nothing in it, such as Other wedding vendors when both vendor boxes are unticked, is left out and the numbers close up. Signature blocks for the Photographer, Partner 1 and Partner 2 come last.
Each clause is written from your entries, so you can read how the parties, coverage, fee, usage and cancellation choices sit together in one document. The Copyright and use of images clause always states that the Photographer owns the copyright in all wedding images, then adds the sentence for the usage option you chose and a portfolio sentence.
How are the retainer and balance worked out?
With “Percent of the fee”, retainer = round(fee x percent / 100), rounding halves away from zero to the nearest cent. The balance is the fee minus the retainer. With “Fixed amount” the retainer is the number you type, and with “No retainer” the clause shows the full fee instead of a balance.
The page opens with a fee of 3,000.00 at 30 %, which gives a retainer of 900.00 and a balance of 2,100.00 due 14 days before the wedding. A fee of 2,499.99 at 30 % gives 749.997, which rounds to a retainer of 750.00 and a balance of 1,749.99. This is arithmetic on your numbers; it does not suggest what a wedding photographer charges.
What do the timeline and family formals lists do?
Every line of “Wedding-day timeline” and “Family formals list” appears as a bullet under the heading Wedding-day plan and family formals. The clause also says the couple will name one person who knows the family and can gather people for group photos, and that group photos take time away from other coverage, so a long list may need more coverage time.
What choices does each section offer?
- Second photographer: “No second photographer” or “Second photographer included”.
- Album or prints: “None”, “Album”, “Prints” or “Album and prints”, with an “Album or prints details” box.
- Retainer: “Percent of the fee”, “Fixed amount” or “No retainer”. A blank overtime rate shows a placeholder, and a blank travel fee leaves the travel sentence out.
- Vendors, gear and replacement: “Vendor meal for the photographer”, “Photo credit to other vendors”, “Backup equipment clause” and “Replacement if the photographer is unavailable (illness)”.
- Usage rights: “Couple may print and share for personal use”, “Personal display and sharing only” or “Photographer keeps all rights”.
- Change of wedding date: “Retainer moves to the new date if available” or “New date is a new booking”.
- Cancellation by the couple: “Retainer is not refunded” or “Retainer only, then full fee close to the date”, which shows “Cancellation notice, in days”.
- Limit of liability: “No clause”, “Limited to fees paid” or “Replacement or refund”.
Frequently asked questions
Is this wedding photography contract template free, and is anything uploaded?
It is free, needs no sign-up and runs entirely in your browser. What you type is never uploaded, and the details are not put in the page address.
Can I use the contracts I make here for client work or commercially?
Yes. The documents you make here are free to use for client work and anything else, with no attribution. The only limit is copying this site to run a competing tool.
Is this legal advice?
No. It is a starting template, not legal advice, and this page says nothing about how any document would be treated in any place. Laws differ by place, so have a qualified professional review it before you use it.
Can I get a Word file or a PDF?
The tool downloads .txt and .html, and “Copy text” lets you paste the agreement into any word processor. For a PDF, click “Print” and choose to save as PDF in your browser’s print dialog. There is no .docx download.
What happens if I leave a field blank?
Most blank fields show a [placeholder] in the text. The exceptions are the travel fee, which leaves its sentence out, and empty timeline or formals lists, which leave those lists out.
Who has a signature block?
The Photographer, Partner 1 and Partner 2 each get Name, Signature and Date lines. The names you type in the partner fields are filled in.
